Call for abstract

The diagram below outlines the steps from abstract submission to presentation at the conference.

[Important Notes]

  • The first author MUST present his/her presentation.
  • After the abstract submission system is complete, the secretariat will contact you via email to request pre-registration.
    • If the first author fails to complete the pre-registration by the specified deadline, the abstract will be withdrawn and not included in the printed program.
  • Both the CyPos slides and the presentation slides must be uploaded to their respective systems by the designated deadline.
    • Failure to upload both slide sets on time may result in:
      • Ineligibility for the ICRPT Award
      • Disqualification from on-site presentation

Instructions for Abstract Submission

Submitted abstracts will be peer-reviewed by the Program Committee. Please follow the instructions below.
1. Period
  12:00 (noon) Sep 1 – 23:59 Oct 30, 2025 (UTC +9)
     
2. Abstract structure
 
  • Title
    • ≤ 30 words in English.
    • Do not include company or brand names.
    • Avoid series such as 1st report, 2nd
    • Replace or spell out any abbreviations that are not listed in the PDF document dated 20 Oct 2012.
  • Body
    • ≤ 320 words in English.
    • Use the headings [Purpose] [Methods] [Results] [Conclusion].
    • Figures and tables are not allowed.
    • An ethics statement is NOT required in the abstract.
    • Provide at least three research keywords.
3. Novelty Statement (for review only)
 

It will not be shown in the proceedings.

  • ≤ 200 words in English.
  • Do NOT include the title, author names, or affiliations.

Spell out every abbreviation at first use.

5. Author information
 
  • If you belong to an academic society, select or list its name.
  • Co-authors: The online system accepts up to 10 authors in total (including the first/corresponding author).
  • Ensure your email address is correct. If you do not receive a confirmation email after submission, return to the abstract submission system and verify your email address.

 

6. Research Ethics
 
  • Applicants must comply with:

(For all researchers)

  • World Medical Association Declaration of Helsinki (last updated 2024).

(For researchers working at institutions in Japan)

  • Ethical Guidelines for Medical and Health Research Involving Human Subjects (partially amended on 27 March, 2023).
  • Fundamental Guidelines for Proper Conduct of Animal Experiment and Related Activities in Academic Research Institutions.
 

 
  • If required, obtain approval from your institutional Review Board (IRB) or the Institutional Animal Care and Use Committee (IACUC) before starting the study.
  • All presenters must answer the “Ethics and Conflict of Interest” questions during submission.
7. Multiple submissions
  Multiple submissions are generally NOT accepted unless the research provides distinct, valuable information.

Notification of Abstract Acceptance

All abstracts for the 5th ICRPT will be peer reviewed after the deadline. A confirmation email is sent automatically upon successful submission.

  • On‑site presentation is required for all speakers.

Presentation Preparation

  • All oral and CyPos electronicposter slides MUST be in English.
  • Failure to upload both the CyPos (electronic‑poster) file and the oral‑presentation slides by their respective deadlines may result in withdrawal of the abstract, ineligibility for ICRPT awards, and possible disqualification from on‑site presentation.
1. Disclosure of Conflict of Interest (COI)

  • If the study receives any industry funding — regardless of the amount — or involves company employees, you must disclose this information.
  • A COI declaration must appear on the second slide of both CyPos and oral‑presentation files.
2. Alternative presenter

  • The first (corresponding) author is responsible for the presentation.
  • If the registered presenter is unable to attend due to unavoidable circumstances, they must notify the Secretariat in advance and designate a coauthor to present
3. Abstract Withdrawal & No‑Show Policy
  Withdrawal after acceptance or a no‑show in Yokohama may incur penalties for future conferences, and the abstract may be omitted from the 5th ICRPT program. 

CyPos Registration

  • Upload your CyPos PowerPoint file: mid-Feb – mid-Mar 2026 (to be updated).
  • Include the COI declaration on the second slide.

Presentation Slides Registration

  • Upload presentation slides: Mar 2026 (to be updated).
  • Each oral presentation: 7 min talk + 3 min Q&A (English only).
  • No on‑site slide updates will be permitted; check your file during the pre‑registration period.

ICRPT Awards

Awards will be given to researchers who deliver outstanding presentations in three categories:

  • Brilliant Award
  • Outstanding Presentation Award
  • Certificate of Merit Award
