Instruction for Overseas participants

A filled-in registration form is required at registration. Please download the form from the website, fill it out in advance and hand it to a person at the registration desk for visitors from overseas on the day of visit.

Meeting Information

1. Registration

The Registration Desk is located in Exhibition Hall A.

    ※Note: As for international speakers and participants who have been informed in advance, please visit the “Help Center” on the 2F of the Conference Center.

      Students    JPY 1,000
      (Students must present a valid student ID in order to register)
  3. All participants are required to wear their name tag at all times when in the venue and the exhibition area.

2. WiFi

WiFi is available in all areas of Pacifico Yokohama including the Annex Hall and the
WiFi SSID is [FREE-PACIFICO] (Password is not required).

3. Information for speakers

Oral presenters
  1. Please sit down the next speaker’s seat 15 minutes before the beginning of your session.
  2. If you already completed uploading your slides, you do not have to confirm the data at the PC preview center on the day of presentation. Please come directly to the session room.
  3. You are not allowed to replace the registered data with new data or modify the registered data after the uploading period.
  4. You are not allowed to use your own PC.
  5. Please keep the time limit of the presentation.
    General session: 7-minute presentation and 3-minute discussion
    Theme session: 10-minute presentation and 5-minute discussion
Poster presenters
  1. Please come to reception in front of the room N101 on the 1F of the National Convention Hall 15 minutes before the beginning of your session.
  2. First, chairperson of the session will introduce all presenters for a few minutes in front of the monitor No.1.
  3. After introduction, you will discuss with audiences in front of your designated monitor. The last digit in your Presentation Number is the number of your designated monitor.
  4. The time of the session is 30 minutes. You will use CyPos data which you uploaded for discussion.
Invited speakers

When you bring presentation data,

  1. Please confirm your presentation data at the PC preview center at least 60 minutes before your presentation time. Please let the PC preview center staff know if you use videos and sound. The PC preview centers are located in Exhibition Hall A and on the B1 level of the Conference Center.
  2. Only Windows data is allowed. Please use USB flash memory to store data (the use of CD or DVD are not allowed). The maximum data capacity should be 512 MB.
    ※Note: If your data is created using Macintosh, please use your own PC for your presentation.
  3. A Windows PC with MS PowerPoint installed is setup in the room. Your PowerPoint version should be 2003-2013.
  4. All PCs to be used for lectures are set to XGA (1024×768).
  5. If you have files such as videos, please store all data in the same folder.
  6. After previewing, your data will be transferred to the presentation room.
  7. If you use the Presenter Tool of the PowerPoint, please apply at the PC preview center.

When you use your own PC,

  1. Please confirm the external display output is available at the PC preview center. The PC preview centers are located in Exhibition Hall A and on the B1 level of the Conference Center.
  2. We have a “D-sub 15 pin” cable available in the presentation room. Please bring the connector if your PC does not correspond to D-sub 15 pin.
  3. Please use an AC adapter so that the battery does not fail. Please do not set a password for a reboot.
  4. The screen size should be XGA (1024×768).
  5. Please cancel the screen saver and power saver in advance.
  6. If you use the Presenter Tool of the PowerPoint, please apply at the PC preview center.

4. Instructions for CyPos Viewing

During the meeting, you can access CyPos from the PC in the Marine Lobby on the 1F of the National Convention Hall.
Also, you can access CyPos from your own PC via the Internet inside and outside the venue.

  2. Login ID and password
    When you select the JSRT button in the front page, you are required to enter a login ID and a password. Your login ID and password are printed on your name tag.
  3. Viewing before the meeting
    Only pre-registrants can access to CyPos before the meeting (only JSRT posters).
  4. Viewing after the meeting
    Only registrants can access to CyPos after the meeting.

5. Lunch-time session

  1. Those who have obtained a numbered ticket have priority to attend the session.
  2. We will issue lunch tickets on a first-come-first-served basis on the 1F of the Conference Center and the Annex Hall between 7:15 and 11:45 of the day of the lunch-time session.
  3. Only one ticket is available per person and per day.
  4. The lunch ticket will become invalid 10 minites after the beginning of the lunch-time session.
  5. If there are still vacant seats 10 minutes after the start of the lunch-time session, those who do not have a lunch ticket will be allowed entry.

6. Reception for all participants

  3. Reception fee         Free (included in the registration fee)
  4. All attendees are required to wear their name tag to attend the Reception.

7. Restrictions on Photographing and Audio/Video Recording

Photographing and Audio/Video Recording without permission are prohibited in the presentation room.

8. Meeting App

You can download the app on your iOS/Android smartphone or tablet to access/search the program and manage your schedule at the meeting, as well as to access the abstracts (only JSRT presentations).
Please search “JRC2017” on App Store (for iOS) or Google Play (for Android) and download the app.
The password is jrc2017jsrt.

9. Cloakroom

Located in Exhibition Hall A and on the 1st and 2nd floors of the Conference Center.

10. Smoking Areas

Smoking is prohibited at the venue except in the designated smoking areas.

11. Nursery

Please see the “Information on Nursery” page on the website.

12. Free Shuttle Bus Service to Haneda Airport

Free shuttle bus service will be available after the closing ceremony. The bus stop is located in front of the main entrance on the 1F of the Conference Center.
No reservation can be made.

※Note: the departure time of 2nd and 3rd bus is not fixed.
